AI consultancy · United Kingdom
Communication Square LLP plans, builds and runs AI automation on Azure and Microsoft 365, and checks it against UK GDPR. We use the AI model that suits each task, and a person stays in control of anything that affects your customers or your money.
Most firms start with one repetitive back-office process that eats hours every week. Lack of in-house AI expertise is the barrier UK firms cite most often (DSIT AI adoption research, 2026), so we design, build and run the AI agents that do it for you.
Invoice chasing, bank and card reconciliation, supplier statements and month-end checks, with a person approving anything that moves money.
Shared mailboxes and support queues sorted, answered from your own policies, and passed to the right person with the case summarised.
Contracts, forms and correspondence read, filed and summarised in SharePoint, with the key dates and clauses pulled out.
New enquiries answered within minutes, quotes drafted and follow-ups scheduled, so no prospect waits for a reply.
Law firms, accountants, recruiters, logistics and payments firms with 50 to 250 staff, where back-office work is high-volume and mistakes are costly.
Teams that need to show which AI tools touch personal data, where that data is processed and who reviews automated decisions.
Start with a readiness check or a single pilot on your own Microsoft 365 and Azure.
The answer depends on the AI model, so we state it for each one before anything goes live. Your files, mail and records stay in your own Microsoft 365 and Azure; only the text sent to a model is processed as shown below. Microsoft runs two Azure regions in the UK, UK South and UK West (Microsoft Learn).
| Model | Where the request is processed | Source |
|---|---|---|
| Older OpenAI models (gpt-4o, gpt-4.1-mini) deployed in UK South | Processed in the UK | Microsoft |
| Newest OpenAI models on Azure | Global deployment: processed in any Microsoft region; stored data stays in your Azure geography | Microsoft |
| Claude (Anthropic) in Microsoft Foundry | Processed by Anthropic as the data processor | Microsoft |
| Microsoft 365 Copilot | In-country processing in the UK expected by the end of 2026 | Microsoft |
Since June 2026 UK organisations may make significant automated decisions about people on more lawful bases, provided appropriate safeguards are in place (ICO). Everything we build has those safeguards from day one.
Anything that affects customers, money or staff waits for a named person to approve it.
What the AI saw, what it did and why, kept so you can answer a complaint or an audit.
A clear route for anyone affected to ask for a person to review a decision.
For the regulator's view, see the ICO's guidance on AI and data protection.

A free AI readiness and data-protection check: where AI is already in use, what it touches and the best first process to automate.
One automation on one process, running alongside your team in shadow mode until its results match theirs.
It goes live on your Azure and Microsoft 365, with approvals, logging and alerts in place.
We monitor, update and improve it every month, and report what it did.
Azure servers, identity and Microsoft 365 managed from 2015 to 2021, including merging the group's Irish and UK Microsoft 365 tenants into one.
Technical support for the Microsoft estates of its own clients, from 2017 to 2020.
In your own Microsoft cloud. The automation runs in your Azure subscription and reads your Microsoft 365 data where it already is. Where the AI model processes a request depends on the model, as the table above shows, and we tell you which model each one uses before it goes live.
The one that suits each task. We build on Microsoft Foundry, which offers models from OpenAI, Anthropic, Meta, Mistral and others. Where data must stay in the UK, we use a model available in UK South.
A person approves anything that affects your customers, money or staff before it happens, and every action is logged with what the AI saw and why it acted. During the pilot it runs in shadow mode, so its work is checked against your team's before it does anything on its own.
Usually, if the AI processes personal data in a new way or helps make decisions about people. UK GDPR requires a data protection impact assessment where processing is likely to be high risk, and the ICO lists innovative technology such as AI as a factor (ICO guidance on DPIAs). The readiness check tells you which of your planned uses need one, and we supply the technical detail it needs.
Not usually. The automation runs on Azure and works with the Microsoft 365 licences you already have. If a plan change would save money or is needed for a feature, we show you the figures first.
Tell us what you would like to automate, or book the free readiness check, and we will get back to you.
